Inviting team members allows you to collaborate on robots, share data extraction results, and manage workspace projects together. Each team member receives a specific role that determines their permissions.
Before you invite team members
Prerequisites
You must be a workspace Owner or Admin to invite team members.
The person you're inviting must have a Browse AI account linked to their email address.
Check your plan's team member limits before sending invitations.
Team member limits by plan
Different subscription plans have varying team member limits:
Free plan: Up to 3 team members
Personal plan: Up to 3 team members
Professional plan: Up to 10 team members
Premium plan: Custom team member limits
Note: These limits include all workspace members (Owner, Admins, and Members).
How to invite a team member
Follow these steps to invite someone to your workspace:
Step 1: Access workspace settings
Navigate to the Workspace Settings tab in your dashboard.
Locate the Workspace Members section.
Click the + Invite teammate button.
Step 2: Enter invitation details
In the invitation dialog:
Email address: Enter the team member's email address in the email field.
Select role: Click the role dropdown and choose from:
Admin: Can manage workspace settings and team members
Member: Can build and run robots, access shared data
Click Send Invitation to send the invitation email.
Step 3: Invitation sent
The team member will receive an invitation email.
Their status will show as "Pending" in your workspace members list.
They'll appear in your workspace once they accept the invitation.
Understanding invitation status
Team members can have different status indicators:
Pending: Invitation sent but not yet accepted
Active: Team member has accepted and can access the workspace
What happens after invitation
For the invited person
They receive an email invitation to join your workspace.
They must accept the invitation to gain access.
Once accepted, they can access the workspace with their assigned role permissions.
For workspace admins
You can see pending invitations in the workspace members list.
You can manage or remove pending invitations if needed.
You can modify roles after the person joins the workspace.

Assigning roles during invitation
Choose the appropriate role based on what the team member needs to do:
Choose Admin if they need to:
Manage workspace settings
Add or remove other team members
Configure robots and API settings
Access most workspace management features
Choose Member if they need to:
Build and run robots
Access shared workspace data
Work with existing robots and data
Changing roles after invitation
You can modify team member roles after they join:
Go to Workspace Settings.
Find the team member in the members list.
Click the edit icon next to their name.
Select their new role.
Click Save to apply changes.
Troubleshooting invitations
Invitation not received
Check that the email address is correct.
Ask the recipient to check their spam folder.
Ensure they have a Browse AI account with that email address.
Can't send invitation
Verify you have Owner or Admin permissions.
Check that you haven't reached your plan's team member limit.
Ensure the email address isn't already a workspace member.
Invitation shows as pending
The recipient needs to accept the invitation via email.
Invitations don't expire, but you can resend if needed.
Team member can't access workspace
Confirm they accepted the invitation.
Check that their account email matches the invitation email.
Verify their role has appropriate permissions for their needs.
