Understanding workspace roles and permissions

Workspace roles determine what actions team members can take within a Browse AI workspace. Understanding these roles helps you assign appropriate permissions and maintain security.

Available workspace roles

Owner

The workspace Owner has complete control over the workspace:

  • Full control over workspace settings.

  • Manage members and permissions.

  • Transfer ownership to another member.

  • Access all robots and API settings.

  • Configure billing and subscription settings.

  • Delete the workspace.

Note: Each workspace can only have one Owner at a time.

Admin

Admins have extensive management capabilities:

  • Manage workspace settings.

  • Add or remove team members.

  • Configure robots and API settings.

  • Cannot transfer ownership.

  • Cannot delete the workspace.

Member

Members have basic access to workspace functionality:

  • Build and run robots.

  • Access shared workspace data.

  • Cannot modify workspace settings.

  • Cannot add new members.

  • Cannot access billing information.

How roles work in practice

For Free plan workspaces

  • Members with the Member role do not see subscription plans.

  • Only Admins and Owners can manage subscriptions.

For paid plan workspaces

  • All roles can create and use robots.

  • Team member limits depend on your subscription plan.

Transferring workspace ownership

The workspace Owner can designate a new Owner and transfer ownership to another team member:

  1. Navigate to Workspace Settings.

  2. Click on the pen icon next to the team member you want to promote.

  3. Choose the Owner role for the selected team member.

  4. Click "Save."

  5. Click "Yes, transfer ownership" to confirm.

Important: Once you transfer ownership, you'll become an Admin and lose Owner privileges.

Managing team member roles

Assigning roles

When inviting new team members:

  1. Send an invitation to their email address.

  2. Select their role during the invitation process.

  3. They'll receive their assigned role once they accept the invitation.

Changing existing roles

To modify a team member's role:

  1. Go to Workspace Settings.

  2. Find the team member in the list.

  3. Click the pen icon next to their name.

  4. Select their new role.

  5. Click "Save" to apply changes.

Important considerations

Before accepting invitations

New team members must have a Browse AI account linked to their email address before accepting workspace invitations.

Role limitations

  • You cannot demote the workspace Owner without transferring ownership first.

  • Members cannot see or modify billing information in any plan type.
